Data Deletion Policy
This Data Deletion Policy describes how users of the Yournal mobile application can request the deletion of their personal data, the procedures we follow, and what data we are required to retain by law.

1. Scope
This Policy applies to personal data stored on Propsy Digital's servers in connection with your use of the Yournal mobile application.
It does not apply to data stored exclusively on your own mobile device. Any journal entries, logs, or other content stored locally on your device must be deleted by you, either by deleting the specific entries within the app or by uninstalling the application. We have no access to or control over data stored locally on your device.
2. Your Right to Deletion
Under the General Data Protection Regulation (GDPR) and other applicable privacy laws, you have the right to request the erasure of your personal data ("right to be forgotten"). We extend this right to all Yournal users globally, regardless of their location.
3. How to Request Data Deletion
We provide two convenient ways to request the deletion of your data from our servers.
3.1. Automatic Deletion via App Settings (Recommended)
The quickest way to delete your data is directly within the Yournal application:
- Open the Yournal app on your device.
- Go to Settings (accessible via the profile icon or menu).
- Scroll down and select Delete Account & Data.
- Confirm your choice by following the on-screen prompts.
Using this method triggers an automated deletion process on our backend immediately. You do not need to contact us or wait for manual processing.
3.2. Deletion Request via Email
If you have already uninstalled the application or cannot access your account, you can request deletion by emailing us:
- Send an email to: privacy@propsydigital.com
- Use the subject line: Yournal Data Deletion Request
- In the email, state the email address associated with your Yournal account.
We will process your request manually. See Section 6 regarding how we verify your identity for email requests.
4. What Happens When You Request Deletion
4.1. Immediate Actions
Once you trigger deletion in-app or we verify your email request:
- Your account is deactivated immediately. You will no longer be able to log in or sync your journal.
- Your profile and credentials are flagged for permanent erasure.
4.2. Timeline and Backup Cycles
- Active Systems: All your journal entries, mood records, emotion and activity tags, profile data, and AI-related inputs stored on our active servers will be permanently deleted within 30 days of the request.
- Backups: Residual copies of your data may remain within our secure encrypted backup systems for up to 35 days after deletion from active systems. These backups are regular, automated cycles used for disaster recovery and are not accessible for operational purposes. Any data in backups will be automatically overwritten and permanently erased at the end of the backup lifecycle (a total of 65 days from the date of your request).
5. What Data is Retained
We delete all your personal data upon request, with only two exceptions: regulatory retention and complete anonymisation.
5.1. Regulatory and Legal Retention
We are required by Polish and European Union law to retain certain transactional and legal records for specific periods. This data cannot be deleted upon request.

Data retained for legal compliance is strictly isolated, restricted from general use, and is accessed only when legally necessary (e.g. during a tax audit).
5.2. Anonymised Data
We may retain aggregated and fully anonymised usage and technical data (such as app crash statistics or total active user count) to help us improve the application. This data does not contain any identifiers and cannot be linked back to you or any individual. Anonymised data is not personal data, and this Policy does not apply to it.
6. Verification of Identity
For deletion requests initiated within the application (Section 3.1), verification is automatic as you are already authenticated.
For email requests (Section 3.2), we must verify your identity to prevent unauthorised deletion of other users' accounts. We verify your identity by:
- Requiring that the deletion request email is sent from the exact email address associated with the Yournal account.
- Sending a verification code to that email address, which you must reply to confirm the deletion.
If we cannot verify your identity to a reasonable degree of certainty, we will refuse the deletion request to protect the security of our users' accounts.
